Where to start when choosing a route from China

The right route starts with a description of the specific shipment, rather than the question ‘how many days does shipping take?’. The same goods can travel by road, rail, sea or a multimodal arrangement, but the outcome depends on the origin city, recipient's address, shipment weight and volume, whether transshipment is allowed, the season, and borders and terminals along the way.

Compare options across the whole chain: supplier collection, export operations, the main transport leg, border and terminal procedures, import clearance and the last mile. Cheap main-leg freight may be poor value if the arrangement adds storage, several transshipments or difficult delivery from the port to the warehouse.

Road, rail and sea shipping

Road transport is convenient when collection from a specific address, route flexibility and minimal transshipment matter. Its suitability depends on the origin, border-crossing capacity, weight and dimension restrictions, and requirements for drivers, vehicles and documents in individual territories.

Rail and sea suit other shipment profiles and routes. They require the container, terminal, positioning, free storage periods and onward road delivery to be agreed in advance. A multimodal option is useful when the advantages of one mode compensate for another's limitations, but it involves more operations requiring assigned responsibility.

What initial data the logistics coordinator needs

For an initial quotation, give exact addresses, the cargo-ready date, number of packages, net and gross weight, dimensions of each unit, total volume, packaging type and stackability. ‘Equipment, one truck’ does not allow the body to be selected, payload to be checked or securing conditions to be assessed.

Separately state the goods code or detailed intended use, country of origin, brand, and whether batteries, liquids, magnets, chemical components, temperature requirements or dual-use restrictions are involved. These properties may change the permissible route, mode of transport, terminal and document list even before a commercial quotation is issued.

Commercial and customs documents

The basic commercial set usually includes a contract, invoice and packing list. Transport requires shipping documents; classification and customs operations require information on the goods, EAEU commodity code, origin, value and transaction terms. The EAEU Customs Code provides for electronic declarations and risk-based requests for supporting documents.

No document pack is universal. Some goods require technical descriptions, catalogues, certificates of origin, declarations of conformity, sanitary, veterinary, phytosanitary or other permits. Check the current rules for the specific code and intended use of the goods instead of copying the previous shipment's document set.

What Incoterms® determine and what they do not replace

An agreed Incoterms® 2020 term allocates delivery obligations, the point of risk transfer and certain cost categories between seller and buyer. The contract must specify not only the three-letter term but also the precise named place or point. FCA, CPT, CIP, DAP and DDP create different areas of responsibility.

Incoterms® do not replace the contract of carriage, payment terms, transfer of ownership, sanctions screening or customs law. Before arranging delivery, align the supply contract with the actual logistics chain: who books the carrier, handles export and import, insures the cargo and pays for terminal operations.

Packaging, marking and cargo handover

Packaging must withstand the selected chain, including vibration, humidity, stacking and transshipment. For equipment, determine the centre of gravity, lifting points and securing points in advance. For pallets, check dimensions, base integrity and suitability for mechanical handling. Markings must match the packing list.

At each handover, record the number and condition of packages, seals, container or vehicle numbers and visible damage. Photographs before loading and after securing help investigate discrepancies but do not replace a transport document, report or carrier's reservation. Assign those responsible for checks before dispatch.

Why the origin country alone cannot determine a delivery promise

The timeline includes goods readiness, vehicle positioning, export procedures, main-leg transit, border queues, terminal handling, import clearance and delivery to the recipient. Holidays, seasonal demand, document checks and changes in crossing availability may have a greater impact than estimated driving time.

A working schedule should contain milestones and assumptions, not just one date: when the supplier hands over the goods, when export is completed, where transport changes, which documents are needed before arrival, and who reports delays. This allows deviations to be managed without an artificial guarantee that cannot be substantiated before transport begins.

Checklist before booking transport

Before booking, confirm the goods description and code, seller and buyer, delivery terms, addresses, package characteristics, documents, restrictions, warehouse readiness and contacts. Check responsibility for export, import, insurance, loading, unloading and any storage. Record every assumption used in the commercial quotation.

Notify the logistics coordinator of changes immediately: different packaging, increased weight, a new address or a production delay may require a different vehicle and booking.
